The HubSpot trap

Why HubSpot is so expensive

HubSpot's pricing model has a built-in escalation trap. You start at $20 per month, but that is the bait.

Add a second user? That is $100 per month minimum (Professional tier). By the time you have 5 people and need workflow automation, custom reports, and the features you expected at the lower tier, you are paying $2,000 a month. Some teams hit $24,000 per year.

Here is the pattern:

  • Starter ($20/mo): Basic CRM, 2 users, limited workflows. As soon as you add a third person, you need Professional.
  • Professional ($100/mo per user): Now you get 3 users per seat. Still capped on custom reports, API limits, and automation. You need to add each feature individually, and each costs extra.
  • Enterprise: Pricing is custom, but teams report $50,000+ per year.

HubSpot does not gate features at the Starter level because they are hard to build. They gate them because you will pay more to unlock them. It is the definition of vendor lock-in.

The alternative path

Twenty CRM, Zoho, Pipedrive, and others cost less because they either use per-user pricing that stays flat as you add people, or they charge a flat monthly fee and give you every feature. No hidden tiers. No escalation.

Even self-hosting Twenty CRM (the open-source version) costs $10 to $30 per month for a server, plus zero licensing. That is real freedom.

Pricing sourced from HubSpot, Zoho, and Opsily public pricing pages as of October 2026. Features based on documented tier specifications.

Zoho CRM

Starting: $14 per user per month (billed annually).

Why it wins: Includes AI, automation, and unlimited custom reports. No per-workflow fees. Same feature parity as HubSpot at 30% of the cost. Strong if you need a traditional SaaS solution without the lock-in anxiety.

Pipedrive

Starting: $14.90 per user per month.

Why it wins: Sales-pipeline obsessed. Activity-based selling workflow is intuitive. Still per-user pricing (Zoho problem), but the interface feels less cluttered than HubSpot.

Brevo (formerly Sendinblue)

Starting: $9 to $18 per month.

Why it wins: Volume-based pricing, not per-user. Best for teams that do heavy email and SMS. Light on sales CRM features compared to HubSpot, but excellent for multi-channel outreach.

Twenty CRM (hosted on Opsily)

Starting: $9 per user per month (Pro plan, billed annually) or flat-rate managed starting at $30 per month.

Why it wins: Fully open-source. No vendor lock-in. Unlimited workflows, custom objects, API access. You can self-host for even less, or pay Opsily for hands-off managed hosting with EU data residency.
