Self-hosted n8n: what it actually costs and when to use managed

What is n8n?

n8n is a fair-code workflow automation platform. It combines visual no-code building with the ability to write custom JavaScript or Python when you need flexibility. It ships with 1500+ pre-built integrations and 9000+ workflow templates.

Unlike closed-source SaaS platforms (Zapier, Make), n8n is open-source and self-hostable. The code is visible, forkable, and extensible. There is no vendor lock-in. You own your workflows, your data, and your automation logic.

Teams choose n8n for three reasons:

1. Cost at scale — Self-hosted execution is unlimited. No per-task billing. No per-user seats.

2. Data control — EU-based companies need GDPR compliance. Self-hosting ensures data stays in your jurisdiction.

3. Extensibility — Custom code integration (JavaScript, Python, npm packages) lets you build what no pre-built integration covers.

n8n is used for data syncing, RPA-style automation, ETL pipelines, AI agent orchestration, and internal process automation across teams of 5 to 500+.

The true cost of self-hosted n8n

Infrastructure (VPS): €4 to €12 per month.

A small machine on Hetzner or DigitalOcean includes CPU, RAM, and storage. Most plans come with PostgreSQL and Redis already installed or easily added. SSL certificates are free from Let's Encrypt.

But there are hidden costs.

Setup: 8 to 16 hours of engineering time. At €80 per hour, that is €640 to €1,280 in sunk labor before your first workflow runs. A single outage, and you invest another day debugging.

Monthly maintenance: 2 to 3 hours per month. Not always visible. Occurs during:

• Dependency security updates
• n8n version upgrades
• OS package patches
• Backup verification (you must check backup integrity, not just assume it works)
• Log rotation and disk space management
• SSL certificate renewal (automatic with modern tools, but still requires monitoring)
• Incident response when things break

On-call responsibility: If n8n goes down at 2 a.m. on Saturday, you own the problem. No escalation path. No vendor support.

At scale, the labor cost often exceeds the infrastructure cost. A DevOps engineer costs €60,000 to €100,000 per year. Even 40 hours per year on n8n maintenance is €1,150 to €1,920 of internal labor. That is why managed hosting makes economic sense.
