The problem

Why people leave Calendly

Calendly works well for solo freelancers. But the moment you add a team, the per-seat licensing kicks in: $16/person/month for the Teams plan (billed annually), and you pay for every team member regardless of whether they actually use the tool.

For a team of 5 people, that's $80/month or $960/year. Add a contractor temporarily, and you're paying extra. Remove someone, and the seat stays paid until renewal.

The open-source community built Cal.diy as an answer (49,000 GitHub stars, MIT licensed, free forever). But it comes with a catch: no team routing, no round-robin distribution to multiple people, no team management features at all.

So you're stuck. Either:

  1. Pay Calendly's per-seat tax
  2. Run Cal.diy and accept limited team features
  3. Find the middle ground

That's what this page explores.

The gap

The self-hosted trap: Cal.diy vs Cal.com Teams

Cal.diy is the community-maintained open-source fork of Cal.com. It's genuinely free and genuinely good for solo scheduling. 49,000 GitHub stars prove the community believes in it.

But when you deploy Cal.diy, you lose:

  • Team routing: You cannot distribute bookings to multiple team members. Cal.diy is single-user scheduling only.
  • Round-robin: No automatic fair distribution of meetings across available staff. If two people can handle a call, the next booking won't split between them.
  • Team management UI: No concept of teams, permissions, or delegation. Everyone who can log in sees everything.
  • Workflows and automations: No automated reminders, follow-ups, or conditional logic.
  • SSO/SAML: No enterprise authentication. Passwords only.

Why? Cal.diy is what remains after Cal.com removed commercial features when it went closed-source in April 2026. The community maintains it, but adding team features would require rebuilding half the codebase.

So the honest truth: Cal.diy = scheduling tool for individuals. Not a Calendly Teams replacement.

That leaves three paths:

  1. Stay with Calendly and pay per seat
  2. Use Cal.diy solo and handle team coordination manually
  3. Use Cal.com Cloud (the managed option) and get Calendly parity at lower cost

Path 3 is why managed hosting exists.

Frequently asked questions

Cal.diy works great if you're the only person using it. But it has no team features — no round-robin, no routing, no permission management. If you need to distribute bookings across multiple staff members, Cal.diy forces you back to manual coordination. Cal.com Cloud has all the team features Calendly has, at lower per-user cost, without the per-seat tax.
